Frequently asked questions — Rome
Real questions from APEX clients in Rome: matching, booking, hotels, travel, dress code.
How quickly can a model be matched for tonight?
On average 30-120 minutes. On a weekday afternoon — the lower end. Friday-Saturday from nine in the evening in high season — closer to two hours. A complex scenario with a specific language, dress code for a Michelin venue, or type constraints — adds 30-40 minutes to the matching.
Can I book a model for Friday with two hours' notice?
Yes, and it's a frequent format in Rome. But the choice in that moment is narrower than a week ahead — the most-requested models are already in play. If you want a specific companion — write 5-7 days ahead; for April-June and September-October, better two weeks.
Which hotels does the model enter calmly?
All the ones we work with regularly: Hotel de Russie, Hotel Eden, Hassler Roma, The St. Regis Rome, Bulgari Hotel Roma, JK Place Roma, Six Senses Rome. Their reception receives guests correctly, with no questions at the desk, provided the visit is agreed in advance. For other hotels — better ask the manager; he'll tell you the specifics.
Do you work after two in the morning?
Yes, 24/7. Late slots are normal for Rome. Dinner till midnight, hotel bar till one, continuation in the suite — an ordinary sequence of an evening in the Centro Storico.
Which months are high season?
April, May, June and September, October. In these months the load is at peak, Michelin restaurants are booked two-three weeks ahead, hotels in the Centro Storico — a month ahead. In July and August the city empties out, the Romans leave, demand shifts to Arab families and northern Europeans. Winter is calmer, but the diplomatic weeks and closed events run.
A trip out to Castelli Romani or to a villa — how is it organised?
We agree minimum 48 hours ahead. We confirm the address, drive time, return route, transfer. Frascati, Castel Gandolfo, Genzano, private Lazio villas — our working geography. The format is usually "day" or "two days", rarely shorter. All travel and accommodation costs — on the client; the model's fee separate, by the standard rate.
Can we travel to Capri, Tuscany, the Amalfi Coast?
Yes, through the trip format. From two days. Travel (train, private transfer, flight), accommodation in client-tier hotels, meals — on the client. The model's fee is agreed before departure. For Capri in high season — we plan two weeks ahead, ferries and hotels fill in advance.
What about dress code in Michelin restaurants?
La Pergola, Imàgo, Aroma — smart formal. Long or strict cocktail dress, heel, minimum jewellery. Pierluigi and Roscioli — slightly looser, but still polished city. Trastevere — premium-label casual is acceptable. For the specific restaurant the model gets a short brief from the manager before she leaves.
Are there models who speak Italian?
Yes, Italian is the base language of our Roman team. English — across the board. French, German, Arabic, Russian — selectively, with particular models. For diplomatic accompaniment we match a model to the specific language and the protocol school.
Diplomatic accompaniment — what does it mean?
Accompaniment at closed receptions, embassy dinners, corporate events with the participation of officials. The model has to understand the protocol: where to stand, how to address, when to keep silent, how to hold a glass. In our Roman base for this format — separate profiles with confirmed experience. We agree in advance, minimum 5-7 days.
What payment methods do you accept in Rome?
USD cash — everywhere. Bank transfer — through the manager, with the details. Crypto — USDT (TRC-20 / ERC-20), BTC by agreement. For returning clients — post-payment and deposit arrangements. EUR is accepted at the current rate with conversion.
Is a deposit required for the first booking?
Usually — a 30-50% deposit a day before the meeting, the balance on meeting. For the media segment and longer formats (day, two days, trip) the terms can be stricter — set by the manager. Returning clients work without a deposit.
What if the model doesn't match what was agreed?
Discussed in the same hour, not after the fact. If on meeting it's clear the attire is wrong or the format doesn't match — write to the manager immediately. Resolution depending on the situation: refund of part of the fee, replacement, scenario adjustment. Cases like this in Rome run around 2%, usually because of an incomplete brief at the coordination stage.
Can we meet at my villa or apartments?
Yes, we call it "client's private location". For a first meeting with a new client we usually suggest one of our trusted hotels in the Centro Storico — easier for everyone. For returning clients your address is agreed without further checks. The address isn't kept on file; it's passed only to the model for the specific meeting.
Can I book a model for another Italian city?
Yes, we have 48 cities in the APEX network, and in Italy we work beyond Rome. If you need a companion in Milan, Florence, Venice, Naples, on Capri — the manager either pulls a local model or arranges a Roman one to travel with you. The second option — from two days, with travel and accommodation on the client.
The "weekend" scenario — how is it set up?
From 24 hours to 7 days. Castelli Romani, private Lazio villas, a trip to Capri or Tuscany. Breakfast, daytime activities, dinner — by agreement. The model accompanies throughout, except the agreed rest hours. All travel, accommodation, meal costs — on the client; the model's fee at the standard rate, separate.
Do you have media-tier models?
Yes, a separate category with separate pricing: $3,500 for 2 hours, $5,000 for 4 hours, the rest by agreement. Access to this pool opens after several successful meetings and becoming a returning client. We don't put new clients into the media segment for first contact.
How are models vetted?
Each profile goes through three stages: photo verification (photos are recent, not from an archive), an in-person meeting with the manager at the Via Veneto office, a trial format — a short meeting with a level assessment. We take fewer than one in twenty into the Roman base. We check education, languages, manners, scenario experience, understanding of dress code and protocol.
Is confidentiality guaranteed?
We hold only what's needed for the current meeting. After it — addresses, details, photos are wiped from working chats within 72 hours. Client data — name, phone, payment details — held only with the manager, access restricted. Not shared with third parties. We follow GDPR, deletion on request — within 24 hours. It's the basic architecture of the service, not an add-on.
What's not part of your format?
Meetings under two hours. Mass events without a personal client. Sharing a model's photos with third parties. Scenarios with risk to the model's safety. Haggling after the meeting. We talk all of this through at the coordination stage so there are no surprises.
